This Privacy Policy explains how SupportFlux ("SupportFlux", "we", "us", or "our") collects, uses, shares, and protects information in connection with our website and our AI-powered email management service (the "Service"). By using the Service, you agree to the collection and use of information in accordance with this policy.
1. Information we collect
We collect the following categories of information:
- Account information. When you create an account, we collect your name, email address, and (where applicable) your organization or team details.
- Email content you connect. When you connect a mailbox (such as a Gmail, Google Workspace, or Outlook account), we access and process the email messages, metadata, sender and recipient details, and attachments needed to generate draft replies and provide the Service.
- Knowledge sources. When you connect a knowledge base (such as documents, help-center articles, links, or files from services like Notion or Google Drive), we process that content so the AI can draft accurate, grounded replies.
- Usage and device data. We collect information about how you interact with the Service, along with technical data such as IP address, browser type, and device information, typically through cookies and similar technologies.
- Communications. If you contact us for support or other inquiries, we keep a record of that correspondence.
2. How we use your information
We use the information we collect to:
- Provide, operate, and maintain the Service;
- Generate AI draft responses based on your connected mailboxes and knowledge sources;
- Authenticate you and secure your account;
- Categorize, tag, and surface emails that need attention;
- Produce analytics and insights about your support activity;
- Respond to your requests and provide customer support;
- Monitor, troubleshoot, and improve the Service, including its reliability and quality;
- Comply with legal obligations and enforce our terms.
3. AI processing and human review
SupportFlux uses artificial intelligence to draft email replies. To do this, relevant email content and knowledge-source content is processed by AI models to generate suggested drafts. SupportFlux is designed to keep a human in the loop: AI drafts are suggestions that you review, edit, and approve before anything is sent. We do not use your email content or knowledge sources to train general-purpose AI models made available to other customers.
No training on your content. We use AI model providers under their standard commercial API terms, which exclude your content from being used to train or improve their models. The email and knowledge-source content we send is processed only to generate your drafts. Providers may retain that content for a limited period (generally no more than 30 days) solely to monitor for abuse and ensure service integrity, after which it is deleted. It is never used to train their models or shared with their other customers.
4. How we share information
We do not sell your personal information. We share information only in the following circumstances:
- Service providers (subprocessors). We rely on trusted third parties to operate the Service, including cloud hosting and database providers, AI model providers, email and authentication providers, and analytics providers. These providers process data on our behalf under contractual obligations to protect it and use it only to provide their services to us.
- Legal and safety. We may disclose information if required by law, regulation, legal process, or governmental request, or where necessary to protect the rights, property, or safety of SupportFlux, our users, or others.
- Business transfers. If SupportFlux is involved in a merger, acquisition, or sale of assets, information may be transferred as part of that transaction, subject to this policy.
5. Data retention
We retain your information for as long as your account is active or as needed to provide the Service, and thereafter only as required to comply with our legal obligations, resolve disputes, and enforce our agreements. When you delete your account or disconnect a source, we delete or de-identify the associated data within a reasonable period, except where retention is required by law.
6. Security
We use administrative, technical, and organizational measures designed to protect your information, including encryption in transit and access controls. No method of transmission or storage is completely secure, however, and we cannot guarantee absolute security.
7. Your rights and choices
Depending on where you live, you may have rights to access, correct, delete, or export your personal information, to object to or restrict certain processing, and to withdraw consent. You can disconnect a mailbox or knowledge source at any time from within the Service, and you can request account deletion by contacting us. 8. Cookies and analytics
We use cookies and similar technologies to operate the site, keep you signed in, remember preferences, and understand how the Service is used. You can control cookies through your browser settings, although disabling them may affect how the Service functions.
9. International data transfers
We may process and store information in countries other than the one in which you reside. Where we transfer personal information across borders, we take steps to ensure it receives an adequate level of protection consistent with applicable law.
10. Children's privacy
The Service is intended for use by businesses and is not directed to children. We do not knowingly collect personal information from children under 16. If you believe a child has provided us with personal information, please contact us so we can delete it.
11. Changes to this policy
We may update this Privacy Policy from time to time. When we do, we will revise the "Last updated" date above and, where appropriate, provide additional notice. Your continued use of the Service after an update means you accept the revised policy.
